Licence Books In Mokuso

The licence book is one of the most important and most time-consuming parts of running a martial arts dojo. Mokuso was built to handle it the way it actually works, not the way a generic system assumes it works. This is how.

The Problem

Ask any Sensei who has been running a dojo for a few years and the licence book story sounds familiar.

Paper forms handed out at the start of class. Cash collected in an envelope. Renewal dates tracked on a spreadsheet or from memory. Students whose licence books quietly lapse because nobody noticed the date had passed. New students who should only be attending taster classes slipping into the regular booking flow because there is no system enforcing the rule.

And through all of it, the Sensei is also trying to teach Martial Arts.

The licence book has always been important. The process of managing it has always been a burden that falls entirely on the Sensei. Mokuso was built to change that, not by simplifying the licence book into something it is not, but by modelling it accurately and automating everything that does not need to be manual.

The Beginner Period: A Rule That Finally Has a Home

One of the most overlooked problems in dojo management is the new student grace period. Governing bodies allow new students a number of taster classes before the licence book becomes mandatory, a sensible rule that acknowledges not every beginner will commit long-term. But enforcing it has always been entirely manual.

Mokuso makes this configurable. Senseis set the limit themselves, number of classes, number of weeks, or both. Whichever threshold is reached first ends the grace period. Once it ends, the student cannot book their next class until they have purchased their licence book. No chasing. No awkward conversation. No exceptions that slip through because nobody was tracking.

This was one of the first features shaped by our sensei community. The feedback was consistent: senseis wanted the rule enforced, but they wanted to set the rule themselves. Some draw the line at two classes. Others give new students a month. Mokuso accommodates both, because how a sensei welcomes new students into their dojo is their decision, not ours.

Configured Once, Works the Way You Work

When a sensei sets up their licence book on Mokuso, they configure it once and the platform takes it from there.

The annual price is set by the sensei. Students purchase directly through the app, with payment going straight into the sensei's Stripe account. After purchase, the student's licence book is live immediately — number, renewal date, and auto-renew status all visible in their profile.

Beyond the basics, senseis configure exactly what the licence book unlocks. Booking grading events and viewing grading achievements are the defaults — reflecting the non-negotiable connection between the licence book and grading in UK martial arts. From there, senseis can require an active licence book for viewing the syllabus and tracking belt progress, booking course events, or displaying insurance coverage. Each is a toggle. Enable what applies to your dojo, leave off what does not.

This level of configuration matters because dojos are not identical. A dojo running structured courses as a core part of their offering has different needs from one that focuses entirely on regular classes. Mokuso does not impose a single model — it gives senseis the controls to reflect how their dojo actually operates.

Renewals: Handled, With a Safety Net

Annual renewals are one of the most reliable sources of admin overhead for senseis. Tracking who is due, reminding them, chasing non-payers, updating records — repeated every year, across an entire student base.

In Mokuso, renewals are automatic. The payment is scheduled against the renewal date, charged to the student's card on file. Students are notified in advance and can update their payment details if needed.

Mokuso is also building a meaningful improvement to this — one that came directly from senseis telling us they wanted more confidence around insurance coverage. Rather than attempting renewal on the renewal date itself, Mokuso will attempt it a few days earlier. This gives time to resolve any payment issues before the licence book actually lapses. A student whose renewal fails after the date has a gap in their coverage. A student whose renewal is caught a few days early does not. For a sensei responsible for a dojo full of students, that difference matters.

If renewal ultimately fails, the restrictions apply automatically. No valid licence book means no grading events, no restricted class booking, no access to any feature the licence book is configured to unlock — until the issue is resolved.

When Students Already Have a Licence Book

When a new dojo joins Mokuso, the students do not arrive unlicensed. Most will have active licence books issued through the association, tracked manually. The transition to Mokuso should not require them to start over.

Senseis can enter each student's existing licence book number and renewal date directly against their profile. All configured restrictions apply from the moment it is entered. When the renewal date arrives, Mokuso takes over, scheduling the payment automatically and managing renewals from that point forward.

This also handles a reality of association processes that no purely automated system can ignore: licence book numbers change, renewal dates are sometimes set externally, and upstream manual processes mean details occasionally need to be updated. Senseis have full control to update a student's licence book number or renewal date at any point, from the student's profile. The platform is designed to work alongside association processes, not to pretend they do not exist.

The Connection to Grading

The licence book and grading in Mokuso are not two separate features that happen to interact. They are two parts of the same model.

A student without a valid licence book cannot book a grading event. Mokuso enforces this automatically, reflecting governing body rules rather than imposing its own. When a student grades, the achievement is recorded in their Grading Book, which lives within their licence book profile, building a permanent record of every grade they have earned, who graded them, and when.

Over time, this becomes something genuinely valuable to the student: a complete, portable record of their martial arts journey, available to them at any time in the app.

Built to Reflect How Dojos Work

Every aspect of how Mokuso models the licence book , the configurable beginner period, the automated renewals with an early-attempt safety net, the manual entry flow for existing students, the flexibility over what it unlocks came from conversations with senseis running real dojos.

The goal was never to simplify the licence book into something easier to build. It was to model it accurately, automate what should be automated, and give senseis the controls they need to run their dojo the way they want to run it. That is the standard every Mokuso feature is held to.
