Managing Grading Events

Grading is one of the most significant moments in a student's martial arts journey. It deserves more than a chaotic booking process and a spreadsheet. Here is how Mokuso gives Senseis complete control over grading and why the details matter.

What Grading Means in Martial Arts

In martial arts, grading is not just a test. It is a rite of passage. The moment a student stands in front of the grading Sensei and demonstrates everything they have learned, they are not just being assessed on technique. They are being acknowledged as someone who has put in the work, who has earned the right to progress.

For Senseis, grading carries a different kind of weight. The decision of who is ready to grade is not one that should be made lightly, or delegated to an app. It is a professional judgement, shaped by months of watching a student train, understanding their progress, and knowing when they are ready to be tested.

We spoke to Senseis in our community about this directly. The feedback was consistent, they do not want the app to automatically make a student eligible for grading based on the number of lessons attended. Lesson count is one signal, not a verdict. The Sensei knows. The app should not presume to.

This is why Mokuso's approach to grading events starts with the fundamental principle, the Sensei decides who grades. The platform enforces that decision. Everything else follows from there.

The Licence Book: The Foundation of Grading

Before a student can grade, there is one non-negotiable requirement that applies across UK martial arts governing bodies, they must hold a valid, current licence book.

The licence book is not just an admin requirement. It is proof of insurance coverage and registered membership with the governing body. A student without a valid licence book cannot be graded. Mokuso enforces this automatically. If a student's licence book has lapsed or does not exist, they will not be able to book a grading event, regardless of any other setting.

The Ready for Grading Approval: Keeping Senseis in Control

Mokuso's grading flow begins with the Sensei, not the student. Before a student can even see a grading event on their home screen, the Sensei must individually mark them as Ready for Grading on their profile.

This was requested by Senseis in the Mokuso community who told us clearly, we want to be the ones who decide when a student is ready to grade. An app should not make that decision for us, or let a student self-select into a grading event because they happen to be the right belt.

The result is a system where the technology enforces the Sensei's professional judgement, rather than working around it. A student who has not been approved by their sensei will never see the grading event. A student who has been approved will find it waiting for them on their home screen, with a clear booking flow and payment handled automatically.

Setting Up a Grading Event

When a sensei creates a grading event in Mokuso, they have full control over every detail. The event can be open to all eligible students, restricted by grade range, limited to a specific age group, or set to invite-only via a direct link. Capacity limits ensure the grading stays manageable. Pricing can reflect the event's real cost or be set to free, or aligned with the dojo's standard class rate.

The event status system gives Senseis further control over visibility. An event can be kept hidden until everything is confirmed, set to preview so students can see it coming before booking opens, or opened when the Sensei is ready.

The Student Experience

From a student's perspective, the process is designed to feel like recognition, not admin.

When a student logs into Mokuso and sees a grading event card on their home screen, they know their sensei has assessed them and decided they are ready. That is meaningful in itself. They tap through, review the event details, and book with payment taken from the card used for their subscription, no re-entry required.

After grading takes place, the sensei records the result against the student's profile. The grade achieved, the date, the name of the sensei who conducted the grading, all of it is stored in the student's Grading Book, which lives within their licence book in the app. Students can see their full grading history at any time: every grade they have achieved, when they achieved it, and who graded them.

Over time, this builds into something genuinely valuable, a digital record of a student's martial arts journey that travels with them.

Grading and the Licence Book: Two Sides of the Same Thing

It is worth stepping back and seeing these two features together. The licence book establishes a student's right to train and grade within their governing body. Grading events mark the moments when a student progresses. The Grading Book records where they have been.

None of these exist independently in real martial arts. They are part of the same system, the framework that governing bodies like Karate England have built to maintain the integrity and safety of the practice. Mokuso models this accurately, rather than treating grading as just another event type and the licence book as just another payment.

That distinction, understanding the martial arts context, not just the software requirements is what makes Mokuso unique. It is shaped by Senseis, and built to reflect how Dojos actually work.

Mokuso is purpose-built for martial arts dojos. Grading Events and Licence Book are two of the features that senseis in our community helped shape.
